How much does letting agent software cost in the UK?

Three suppliers print a number. They print it in three different units, which is the part that catches agencies out.

Every figure above was read on the supplier's own pricing page on 15 August 2026 and is reproduced, not estimated. Apex27 and Acquaint state their figures exclude VAT; the others do not say either way on the pages we read. Check the supplier's page before you buy.
Three units, three completely different bills
A five-person agency managing 300 units pays for five seats under Apex27, for 300 units under Arthur Online, and a percentage of whatever rent it processes under PayProp. Grow the portfolio without hiring and the per-user bill does not move while the per-unit bill does. Hire two administrators without growing the portfolio and the opposite happens. Before you compare two quotes, write down your headcount, your units under management and your annual rent processed, and ask every supplier to price all three.
What moves a quote from the five that do not publish
- Properties under management
- Reapit states outright that client accounts is charged based on users and properties under management. Expect that to be the first question in any quote-only conversation.
- Client accounting as a module
- The single biggest difference between these platforms. Street.co.uk states client accounting is included in Street Lettings with no bolt-ons and no extra cost. Reapit prices client accounts separately. Ask which side of that line your quote sits on.
- Setup and migration
- PayProp is unusual in publishing it: a once-off setup fee of £600 to £2,000 based on portfolio size. Everyone else has this cost too; most do not print it.
- Websites and portals
- Acquaint sells the website separately at £1,000 plus £41.15 a month plus VAT. A CRM quote that appears to include a website is worth reading twice.
- Messaging and eSigning
- Acquaint footnotes eSigning and SMS on its module list, which usually means metered. Ask for the per-message and per-signature rate.
- Multiple entities
- If you run SPVs or separate trading companies, ask how they are billed. Arthur Online waives the minimum spend on linked additional accounts, but only on Professional and Enterprise.
A price behind a demo is not a red flag, but it is information
Five of the eight systems here quote rather than publish, and they include several of the largest platforms in UK lettings. A platform priced on properties under management genuinely cannot print one number. It does mean you cannot shortlist on cost until you have given a salesperson your portfolio figures, and it means the price is negotiable, which a published one is not. Ask for the monthly figure, the unit, whether client accounting is inside it, the migration fee and the cost of leaving, in the first call.
